Data Deletion Instructions

You can ask us to delete your personal data at any time. This page explains how.

Sophia AI Sales is an AI sales assistant operated by SOPHIA GENESIS LLC (Ukraine). Businesses use it to answer messages from their customers in Telegram, Instagram and Facebook Messenger. If you sent a message to such a business, we may hold a copy of your conversation and your profile data (name, username, profile picture).

How to request deletion

Step 1. Send an email

Do not send passwords, copies of identity documents or other sensitive data.

Step 3. We confirm receipt

We reply to tell you that we have received your request.

Step 4. We check that the account is yours

We use a simple check that matches the request. For example, we may ask you to send a short code from the same messenger account to the same business chat. We do not ask for more information than we need.

Step 5. We delete your data within 30 days

Within 30 days after we confirm your request, we delete from our active systems:

Our backups are kept for 30 days and then replaced. Your data disappears from backups within 30 days after we delete it from active systems. We do not restore deleted data from backups.

Step 6. We send you a confirmation

When deletion is complete, we send you an email to confirm it.

The business you messaged

The business you wrote to controls your conversation. We process it on the business's behalf. When we receive your request, we inform the business and delete the data in our service. We also ask the business to delete any copies that it keeps outside our service (for example, data it has exported or notifications its managers received in Telegram).

When we cannot delete everything

We may keep some data if the law requires it or if we need it to establish, exercise or defend legal claims. In that case, we keep only the data we need, only as long as we need it, and we tell you what we keep and why.

We keep a short record of your request (when you asked and when we completed it) to show that we handled it.

Deleting a chat in the messenger is not enough

If you delete the chat in Telegram, Instagram or Messenger, the copy in our service is not deleted. To delete our copy, send us a request as described above.

The messaging platforms keep their own copies of your messages. To delete those, use the tools of the platform.

How to remove Sophia AI Sales' access in Facebook or Instagram

If you connected a Facebook Page or an Instagram account to Sophia AI Sales (for example, as a business), you can remove the access:

Facebook

  1. Open Facebook and go to Settings & privacy → Settings.
  2. Open Apps and websites or Business integrations.
  3. Find Sophia AI Sales.
  4. Select Remove.

Instagram

  1. Open Instagram and go to your profile → menu → Settings and activity.
  2. Open Website permissions → Apps and websites (or Business integrations).
  3. Find Sophia AI Sales in the active list.
  4. Select Remove.

If you only sent a message to a business, Sophia AI Sales is usually not listed in your settings. This is normal. Use the email request above.

Telegram

Open the chat with the business bot and select Stop and block bot. The bot will not receive your new messages.

Removing access or blocking the bot stops new data from reaching us. It does not delete the data that we already have. To delete it, send us a request.

Automatic deletion

Even if you do not send a request, we delete conversations automatically 12 months after the last message.
